What Is an E-Invoice? GST E-Invoicing Explained Simply

A common misconception is that "e-invoicing" just means sending an invoice by email instead of on paper. Under GST, e-invoicing means something much more specific - and it only applies to certain businesses.

What E-Invoicing Actually Means

Under the GST e-invoicing system, specified businesses must report their B2B invoices to the government's Invoice Registration Portal (IRP). The portal validates the invoice and returns a unique Invoice Reference Number (IRN) along with a QR code, which must then appear on the invoice given to the buyer.

Who Needs to E-Invoice?

E-invoicing is mandatory for GST-registered businesses whose aggregate turnover crosses a threshold set by the government (this threshold has been lowered over time to cover more businesses). If you're below the threshold, you can continue issuing regular tax invoices without registering them on the IRP.

E-Invoice vs Regular Invoice vs Digital Invoice

  • Regular tax invoice - the standard GST-compliant bill, created and sent directly to the client.
  • Digital invoice - simply a PDF or online invoice, with no government validation involved.
  • E-invoice (GST) - a regular tax invoice that has additionally been registered on the IRP and carries an IRN + QR code.

What Happens If You're Not Required to E-Invoice?

Most freelancers and small businesses fall below the e-invoicing turnover threshold. You can still create fully GST-compliant tax invoices - with GSTIN, HSN/SAC codes, and tax break-up - without going through IRP registration. Always check the current threshold on the official GST portal since it changes periodically.
